Privacy Notice

This notice explains how Vandello Ltd (“we”, “us”) collects and uses your personal information when you apply to drive with us and, if we take you on, while you work with us. We are the data controller for that information.
Who we are

What we collect
Depending on how far your application progresses, we collect:
- Contact and identity details — name, date of birth, address, phone number, email.
- Driving details — licence number, categories, expiry, endorsements and points, years driving.
- Right-to-work evidence — passport, share code, visa or residence permit, as applicable.
- Vehicle details — whether you have your own van, its type, make, year and registration.
- A recent photo of you, for identification.
- Bank account details, so we can pay you if you are engaged.
- A DBS / background-check result where the role requires it.
- Notes we make during assessment, interview and while you work with us.
- Records of the documents you upload and when.
How we use it, and our lawful basis
- To assess and process your application and decide whether to offer you work — this is necessary to take steps at your request before entering a contract, and for our legitimate interest in recruiting suitable drivers.
- To confirm your identity and your right to work in the UK — to meet our legal obligations.
- To arrange placements with our clients and to pay you — necessary for our contract with you.
- To keep proper business, tax and payroll records — legal obligation and our legitimate interests.
- To run background and licence checks where a role requires them — our legitimate interests and, where relevant, legal obligation.
Who we share it with
We share your information only where we need to:
- The client whose work you are placed on, where they need to know who is driving for them.
- Providers who check right to work, driving licences or DBS status on our behalf.
- Our payment and payroll providers, and our accountants.
- HMRC and other authorities where the law requires it.
- The IT suppliers who host this service and send our emails, under contract and only to run the service for us.
We do not sell your personal information or use it for advertising.
Where it is stored
Your information is held on servers in the UK or European Economic Area. If any provider processes it outside that area, we put appropriate safeguards in place as required by UK data protection law.
How long we keep it
If your application is unsuccessful, we keep your details for up to 6 months and then delete them, unless you ask us to keep them on file for future opportunities. If you are engaged, we keep your records for the duration of your engagement and then for as long as we are required to for tax, payroll and legal purposes — usually 6 years for payment records.
Your rights
You can ask us to:
- give you a copy of the information we hold about you;
- correct anything that is wrong;
- delete your information, or restrict how we use it, where the law allows;
- object to us using it on the basis of our legitimate interests;
- receive certain information in a portable format;
- withdraw consent, where we relied on your consent.

Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed.
